Starting immediately, Florida Engineering Society (FES) is looking to hire an Meeting Assistant in Tallahassee, FL.
Florida Engineering Society is a statewide association for Professional Engineers. We are located in Tallahassee, Florida and serve the needs of over 3,000+ members and 340 firms.
FES is looking for an eager, talented and passionate Meeting Assistant to help our association continue to grow and promote the Engineering profession in Florida. This role requires great attention to details, deadlines and organization. The Event Planner will work directly with two event planners, as well as various other staff members, to prepare, plan, and execute yearly events and meetings. These meetings include annual educational conferences that attract 50-450 attendees; leadership seminars; networking events; etc. Candidates must be able to work in a team environment, be proactive, resourceful, driven, and able to juggle multiple tasks and priorities. We are looking for an energetic individual who has a passion for events and can thrive in an entrepreneurial environment. This role has the potential to develop into a meeting planner position, where the candidate will be the lead planner on select events.
Candidate will assist in all areas of events from pre-planning to post event. Duties may include:
Pre-Planning: review venue contracts as needed; communicate with event team to create events in online registration system; help develop exhibitor/sponsor options for events; ensure all communicates are accurate and adhere to deadlines; following up with sponsors/exhibitors via phone and/or emails; and other needs as they arise
Logistics: assist with all registration related questions; produce and prepare name badges; maintain event webpages as needed adjustments arise; and prepare on-site materials
On-Site: be on hand as needed; work registration desk, manage walk-ins, provide on-site customer service as needed; and provide bullet points for event recap
Reporting: provide registration reports; develop post event report; maintaining event spreadsheets throughout the entire process
Post Event: process necessary PDH sessions per State guidelines/regulations; develop post event surveys
Travel: Required Florida travel of 3-5 times a year
Other Duties: prepare minutes for event related committees (6); prepare Board reports of those committees
2+ years experience in event or association industry (preferred), or 3+ years in hospitality industry
College degree is preferred
Optimistic attitude and personality, which carries over through written, verbal and digital channels
Proven ability to work on a team in a shared services environment, as well as work independently
Strong customer service skills
Ability to prioritize and juggle multiple projects and tasks
Exemplary written and verbal communication skills
Strong attention to detail and organizational proficiency
Ability to learn and adapt to new technology solutions
Strong knowledge of MS Office, Google Drive, Dropbox
Capable of learning new technologies, software and computers quickly
