They play a vital role in executing our clients’ goals and objectives in alignment with the vision established by the client Board of Directors.
As a Senior Association Coordinator, you will work closely with members who are passionate about the mission. In this role, you will support membership, communications, events, registration and sponsor management. This position reports to the MPI-CAC Senior Association Manager and is accountable to MPI-CAC in the achievement of client objectives.
Principal Duties and Responsibilities
Provide input into client and Association Management Business Unit (AMBU) operations, processes, procedures and policies.
Operate in compliance with association specific policies.
Respond to client requests in timely, professional manner.
Work effectively with volunteer committees and interface with association members.
Support the overall goals and objectives of the association through additional responsibilities as required.
Maintain the membership database and ensure the accuracy of its content.
Manage the Affiliate member enrollment and renewal process.
Handle member inquiries and requests serving as a primary contact for a client’s phone and on-line membership presence.
Assist in the development and execution of membership recruitment and retention campaigns and marketing efforts.
Provide membership reports as needed.
Participate in association communications campaigns and promotional efforts.
Ensure and enforce the consistency of the association brand and key messages.
Participate in membership and event marketing campaigns and activities.
Adhere to all communications-related policies and procedures.
Write, edit and proofread communications, as needed.
Provide Web site support and maintenance.
Share your knowledge with Meeting Expectations as a key contributor to training and marketing initiatives.
Event and Registration Management
Work with the Technology Solutions team to create Web-based event and registration systems with the ability to handle multiple events at one time.
Process registration applications received though phone calls, online, mail and fax.
Provide onsite registration coordination.
Track registration client history documents and compile registration reports, pre- and post-event.
Work with accounting to compile invoices and finalize database wrap-up.
Manage sponsorship contracting process including drafting agreements and obtaining signatures.
Work with accounting to compile invoices and collect payments via check or credit card, reporting as needed.
Communicate benefit redemption instructions to sponsors.
Maintain detailed sponsorship records including sponsor details, contact information and benefits, reporting as needed
Track sponsor benefit redemption and assist sponsors with redeeming benefits.
1-4 years of basic office experience preferably in non-profit membership organizations.
Proven success in project management, organization, and administrative duties.
Excellent oral and written communication and interpersonal skills, including presentation skills and networking.
Experience with association management and event registration software (especially Cvent) preferred.
Proficient in Microsoft Office (Word and Excel) required with ability to learn new software.
