The Fabric Workshop and Museum (FWM), an internationally acclaimed contemporary art museum in Philadelphia, seeks a full-time Administrative and Accounting Assistant to provide broad-based administrative support while promoting efficient office procedures. This entry level position reports directly to the Associate Director for Administration, and works closely with the Controller.
Facilitate day-to-day operations of the department responsible for overseeing: contracts; institutional policy; office management, human resources; accounts payable and payroll; reconciliations and cash projections; and the annual audit
Develop and maintain organizational systems for administrative and financial records; assist with digitization of paper-based files
Process, copy, and file weekly bills
Complete accurate data entry for Excel and Word-based reports and meeting handouts
Monitor, respond to, and distribute incoming communications, and expedite outgoing mail or information
Handle highly sensitive and confidential matters and information with utmost discretion
Monitor tasks to ensure that work is completed by agreed upon deadlines
Assist with office supply purchasing
Perform all other related functions as assigned
Bachelor’s Degree required
Minimum 2-5 years administrative experience
Experience in bookkeeping, accounting, and nonprofit management
Excellent organizational and problem-solving skills with a keen attention to detail
Ability to work on several projects at once and change priorities on short notice
Ability to interact effectively with co-workers and managers
Must be internet savvy and proficient in basic accounting software, Microsoft Word (minimum 50 words per minute), Excel, Google Suite and have the ability to learn additional computer/technical skills as needed
Able to lift 20 pounds unassisted and to walk up and down stairs at FWM
