The TJ Partnership Fund (TJPF) is currently seeking a STEM Outreach and Administrative Coordinator to support the TJPF’s mission and vision. The TJPF exists to establish and maintain a fund to support the unique learning opportunities, specialized curriculum and innovative research experiences available to students at Thomas Jefferson HS for Science and Technology (TJ) that are not covered by traditional funding sources. Moving forward the TJPF will work to broaden the impact of TJ to the overall Fairfax and Virginia communities, to connect in new and meaningful ways with TJ alumni, and to increase STEM education outreach to underprivileged and underrepresented communities throughout our region.
The STEM Outreach and Administrative Coordinator is a unique role to support the TJPF’s work to coordinate administrative oversight of the organization, as well as to connect with the local community and collaborate with school administration on supporting STEM outreach at TJ. The position requires working with constituents, volunteers, development staff, external vendors, and Fairfax County Public School personnel and representatives. TJ has a high profile in the DC Metro area as a feeder school for top innovative universities in the nation. TJ is also seen as an international model on how to educate and excite students in the area of STEM education.
The ideal candidate will be able to multitask between the administrative responsibilities of the organization and STEM outreach coordination.
The STEM Outreach and Administrative Coordinator will have multiple areas of responsibility including:
Contact and Office Management:
Organize and supervise all of the administrative activities that facilitate the smooth running of the PF, including training and coordinating volunteers, answering correspondence and inquiries, and handling other office needs
Play a key role in the annual audit and financial reporting of the organization to the Board
Serve as the PF point of contact with TJ administrators and staff
Triage and facilitate resolution of inquiries to the PF
Perform other duties as assigned by the Executive Director and the Chairman
Maintain contacts and activities in Raiser’s Edge
Prepare mail merges for appeals, mailings, events
Generate giving reports
Create targeted donor lists through Raiser’s Edge to assist Board members and staff in solicitations.
Pull queries and reports from Raiser’s Edge
Work with the Assistant Director of Development to establish and maintain RE protocols
STEM Outreach Coordination:
Assist the PF Board, Staff, and TJ Administration/Faculty/Student groups to develop and support STEM programs that benefit the K-12 community
Represent the PF at various outreach-related venues, events, and outreach opportunities both on and off campus
In conjunction with the Executive Director, develop metrics to understand the reach and impact of STEM programs supported by the PF
Evaluate new STEM outreach opportunities, including activities in various sciences, mathematics, technology, and engineering
Serve as a central liaison to share communication and enhance the efficiency and impact of TJ groups working on outreach including: a) TJ students leading outreach activities and leading STEM clubs involved in signature outreach events, b) faculty outreach club leaders, c) outreach and grant program personnel, d) the TJ admissions office, e) the PF Board and staff.
Work with school administration to understand, prioritize, and outline school needs and implement processes for distribution of grants.
Ensure fidelity of implementation of grants (both Outreach and TJ Grants) through grant compliance oversight, and reporting
Manage budget and spending for STEM Outreach programs
Process donations and prepare acknowledgement letters
Record donations in Raiser's Edge database; create fundraising reports.
Take appropriate actions to realize matching gifts, gifts-in-kind accounting, etc.
Maintain campaign needs list and purchases to track PF success in fulfillment of campaign goals
Assist PF Treasurer in reconciliation of accounting and fundraising databases
Support PF Board members and staff in planning and execution of events, including annual awards banquet and fundraising receptions
Coordinate logistics of events, including invitations, guest lists, registration materials and other duties as necessary for events
Maintain calendar of TJ and PF events
The Partnership Fund seeks a proven self-starter who will use their well-rounded skill set to work across these different platforms.
Strong analytical and organizational skills, with the ability to express verbally and in written materials key concepts and themes
A self-starter who will also leverage and seek guidance from key stakeholders at the Fund and School
A Bachelor’s Degree. May be an ideal role for a Master’s student or recent college graduate with an interest in Non-Profit Management and/or STEM Education.
Must be available on weekends and afterhours for outreach and development functions; must be willing to travel within the DC region
Experience and interest with program management, public relations, and/or educational programs.
Experience or comfort working in a CRM database (Raiser’s Edge experience preferred) as well as e-communications platforms, such as Constant Contact.
The ability to collaborate and motivate students and/or interns, and to supervise part-time data entry assistant
