Advancement Events Assistant California College of the Arts
MAIN RESPONSIBILITIES: Coordinates distribution and tracking of event invitations and collateral (post mail and digital). Prepare final invite lists, postage, and print materials in a timely manner to meet deadlines. Develops extensive knowledge of CCA facilities and is responsible for reserving space, operational and media/AV requirements for events. Communicate plans to pertinent departments (Operations, Security, Academic Affairs, etc.) and be aware of any building or scheduling developments that may affect Advancement events. Works closely with Marketing Communications, designers, and other vendors to manage production of print and digital event assets including invitations, evites, websites, signage, etc. Assists with processing and tracking of vendor payments and keeps accurate records of event expenses. Works closely with vendors (i.e. catering, rentals, etc.) on deliverables and monitors proper usage of CCA facilities. Maintain scheduling and tracking of the Advancement events calendar and disseminate event details to key staff as needed. Keep abreast of major events at CCA, within the Bay Area philanthropic community, and international art community to help advise on scheduling Advancement events. Helps manage event staff and volunteers for major events including recruitment, training, communication, and on-site coordination. Ensures assigned events meet CCA standards for quality and are planned effectively to meet their goals as established in collaboration with the Events Manager and Senior Vice President of Advancement.
MINIMUM QUALIFICATIONS: Exceptional organizational skills, with the ability to work on deadline, manage multiple assignments at once, and maintain a professional attitude during times of high stress. Excellent communication skills with demonstrated ability to write articulate, effective correspondence and event materials. Ability to tactfully and courteously interface with senior staff, trustees, donors, and high-profile events guests. Superior computer proficiency including Microsoft Office, database management (Raiser's Edge working knowledge preferred), and online research. Experience with Adobe Creative Suite (Photoshop, Illustrator) and basic graphic design knowledge preferred. Must be able to work nights and weekends as assigned for events.
