Maintain integrity of overall member data periodically to ensure accuracy for running specific member lists, targeting data sets, member services program status, annual analysis and member confidence.
Enter/Process membership renewals and new starts into the iMIS database utilizing both manual and automated import functions to meet monthly membership deadlines.
Run specific membership queries from the iMIS database to complete required membership reports.
Complete monthly membership report for review and approval by Membership and Marketing Manager.
Complete monthly individual Affiliated State activity and status reports.
Communicate via phone and email to State associates regarding membership transmittal questions, issues and updates to resolve in timely manner.
Process miscellaneous membership updates/changes (address, name, etc.) from State associates and return address mail.
Research and resolve membership issues: dates, duplicate accounts, payments, etc.
Make phone calls to members to resolve issues such as address, name/contact questions and share information with State associates
Coordinate receipt of all daily, weekly, monthly membership dues with accounting for reconciliation. Process reverse-membership transactions with affiliated state associations for online dues from affiliated state members.
Process all Direct State membership renewal invoices and the select Affiliate State renewal invoices.
Process all reverse-membership transactions with affiliated states for online dues received directly.
Communicate to Membership and Marketing Manager any issues as it relates to monthly transmittals and processing issues.
Track internal usage of member data to ensure members are receiving excellent customer service and reflected accurately.
Update and maintain the leadership directory data regularly for accuracy of the State and National offices and board member leaders, and other committees and councils.
Work collaboratively with the Membership Manager and Communications Coordinator to help maintain properly routed communications.
Share ideas that would improve processes, procedures and marketing opportunities in regards to membership and member database management.
Support the overall goals of the Membership department by performing duties as assigned.
Maintain daily timesheets
Serve as back-up receptionist for answering incoming calls as needed support to the Front Office Coordinator
Assist with various office projects in all departments as needed, such as telemarketing projects for event attendance and member engagement for renewal and acquisition purposes.
Assist with electronic communications data projects to maintain proper information status
Assist as needed with state magazines dealer mailing list(s) as well as the advertising comp list(s) with new entries or address updates
Assist accounting department and sales staff with various invoicing and media mailing projects.
If requested, assist with on-site support for the duration of any NIADA meeting, convention or conference under the direction of the CEO of NIADA.
All duties as assigned by the CEO of NIADA.
Associate or Bachelor degree desired with a minimum of two years of experience or in lieu of degree, two years college work with related experience to successfully demonstrate the stated required skills may substitute.
Proficiency in Outlook, Excel, Word, FileMaker Pro or other database management software; Excellent customer service and telemarketing sales skills; Excellent reasoning and problem solving skills as it relates to technology and reporting; Timely data entry and processing skills; Excellent organizational, filing and record keeping skills; Excellent communication skills; Exhibit the ability to manage multiple projects at once.
Some travel is possible including Annual convention & Expo, industry trade shows and any other special projects.
