Careers Start Here.Responsible for providing administrative support, including planning, coordination, and implementation of various projects and activities under the direction of the Senior Director, Operations, CRD (Division) and in support of the Division and Director Executive office. This position is considered mission critical since the role intereacts with all levels of faculty, professional and technical staff, and partner collaborators (SCCA, UW, etc.) The position requires a strong fiduciary focus and sensitivity to remaining focused, professional, and ensuring the highest level of professionalism in support of the mission and goals of the Division.The incumbent works very independently and with supervision and mentorship from the Senior Director, Operations. This position requires an individual with solid judgment and discretion in interpreting and implementing department/project(s)/program and Center policies and procedures within existing framework. The position requires someone that is very proactive, confident, and self-directed, and able to engage in and manage projects independently, along with managing multiple work activities, all focused on ensuring the highest level of customer and client engagement, service, etc. May perform some or all of the following responsibilities:Provide direct support to the Senior Director-Operations, relative to meeting management, Outlook, logistics, and other programmatic and Division-level planning and execution. Ensure that all calendar needs and any related travel arrangements, to include reconciliation and processing of costs and reimbursements are prepared in accordance with Center policies and procedures and submitted on time.Act as a liaison as needed, with Center administration, SCCA, and the UW, on behalf of the Division, and under the direction of the Senior Director-Operations so that inquiries, and needs are resolved appropriately. Serve as the primary coordinator of the Division's Monday Noon and Tuesday Clnical Grand Rounds, which will include thoughtful mangement and communication to ensure that faculty are scheduled, with appropriate calendar reminders (and their administrators), ensuring the communicaton (flyers, etc.) and other evaluations are distributed and collected, etc. Manage and work with the Division staff relative to all faculty reviews and promotions.Assist the fiscal and finance group, within the Division, as needed in supporting annual preparation for budget and other financial reporting.As needed, ensure that check and other fiscal requests are created, checked and submitted on time.Assist the Senior Director-Operations, and Finance Administrator in coordinating meetings in support of annual budgeting, fiscal management, and any related needs (to include space management, etc.)Coordinate department/project(s)/program space and facilities, working with the Division and Senior Operations Director, and support any space changes needed in support of faculty and related staff needs. Manage acquisition, maintenance, storage, and supply of equipment or related items in support of faculty research and related work activities, as needed.Coordinate and review, sign-off associated research administration grants and associated special documents for pre-approval, and ensure that all proposals, etc. are promptly submitted (or delivered) to appropriate Center departments (i.e., Office of Sponsored Research, EH&S, etc.). Provide 5th floor appropriate support in ordering supplies, etc.Provide support, as needed to the Division's Research Executive Committee (REC), along with scheduling, room and logistic management, etc.Manage business related catering and other events as needed.Assist with ensuring that all Division space mapping is up to date and coordinated at least quarterly.Manage the monthly administrative meeting, along with logistics, calendaring, invitations, and agenda development, with input from and direction from the Senior Director-Operations, and Seniot staff. Perform other responsibilities and duties as required in support of the Director and Division Mission, Goals, and Vision.Bachelor's degree or equivalent experience. Five years or more of progressively complex administrative experience, preferably in a research and/or clinical care environment. Strong computer and on-line systems skills. Experience working in a medical, clinical, and or health/research environment is highly desirable. A focus on excellent customer focus, strong interpersonal skills is required.
